A distributed industrial organization with a workforce spread across many operating locations needed to retire an aging on-premise voice environment and move to a modern UCaaS platform — without interrupting daily operations at any site. White Oak Solutions was engaged as an unbiased advisor to guide platform selection and de-risk the migration.
The Challenge
Communications ran on an aging, custom-built on-premise voice environment with little documentation, and operational knowledge was concentrated in a single administrator preparing to leave the organization. With users distributed across many sites supporting field, service, and back-office functions, any disruption during a migration would ripple across the business. Leadership needed a clear, defensible path to a simpler platform, a realistic view of the risk involved, and a migration approach that preserved continuity at every location.
Our Solution
White Oak Solutions ran a structured, vendor-neutral UCaaS evaluation between leading cloud communications platforms, producing side-by-side functionality comparisons, total-cost analysis, and administrative complexity assessments tailored to a multi-site industrial environment. We designed and managed a 30-day Proof of Concept that required each vendor to replicate the organization's complex call routing across representative locations, then built a site-by-site migration and cutover plan focused on minimizing risk to daily operations. Throughout selection and planning, we served as the single accountable advisor coordinating vendors, internal IT, and site stakeholders.
The Results
The organization moved off a fragile, undocumented legacy environment onto a modern, manageable UCaaS platform while maintaining continuity across all operating locations. Institutional knowledge was captured in documentation and a supportable platform, removing dependency on a single individual. Post-cutover operations stabilized quickly, and the lean internal IT team gained a communications environment they could administer and evolve without specialized legacy expertise.
